“Got me in the same week, and the hygienist was gentle and explained everything as she went. Easiest cleaning I’ve had in years.”

Drafted replyWaiting for you

Thank you, J. Calm, unhurried and clear is exactly what our team aims for, and it’s good to hear it came through. We appreciate you taking the time.

“Car was promised for Tuesday. Got it back Friday and nobody called with an update.”

01  How it works

You keep the final say. We do the writing.

Replying to reviews matters to the people reading them, but it’s the first task to slip on a busy week. Here is how we take it off your plate without taking it out of your hands.

i.

We get to know your voice

Send us your Google Business Profile. We read your existing reviews and replies, and ask a few questions: how you sign off, what you never say, who handles complaints.

Our part

ii.

Every new review gets a draft

We check for new reviews every business day and write a reply that responds to what that person actually said. No canned paragraphs pasted under every review.

Our part

iii.

You approve in one click

Approve, edit or skip each draft. Once you add us as a manager on your profile, we post the approved reply for you. Prefer to post yourself? Copy and paste works too.

Your part

02  The reply desk

Praise gets warmth. Complaints get care, and you.

We follow a written house style for every reply. Two short rulebooks cover most of it. Want to see it in practice? Here’s a full example reply pack.

When it’s a good review

Specific, brief, human.

  • Answer what they said. If they mention the front desk, the wait or a technician, the reply does too.
  • Keep it short. Two to four sentences. Readers skim; a reply shouldn’t be longer than the review.
  • Sound like you. Your sign-off, your tone, no exclamation-mark confetti.
  • No sales pitch. A thank-you shouldn’t read like an ad.

When it’s a critical review

Flagged to you first.

  • We alert you with the review, a plain summary of the complaint and a suggested response.
  • Calm, not defensive. Acknowledge, take responsibility where it’s fair, and move the details offline.
  • Facts come from you. We never guess what happened or argue the details in public.
  • Nothing posts until you’ve read it and said yes.

Dentists, vets & clinics

Privacy-safe by default. For healthcare practices, replies never confirm that someone is a patient and never mention treatment, even when the reviewer does. That’s why the example above thanks J. without referring to a visit.

03  Included: review-request kit

More reviews, asked for the right way.

The best way to get more reviews is to ask every customer, simply and consistently. The kit gives your team what they need to do that, inside Google’s rules.

  1. Your direct review link

A short link that opens the review box for your business on Google, ready to drop into texts, emails and receipts.

  2. Printable QR cards

Counter cards and handouts with your QR code, sized for a standard business-card sheet or a front-desk stand.

  3. Text and email templates

Short, friendly request messages for after a visit or job, written for your business and easy for staff to send.

  4. A one-page “how we ask” guide

When to ask, what to say at the counter, and the few things never to do, so the whole team asks the same way.

Hi Sam, thanks for choosing Example Family Dental today. If you have a minute, we’d appreciate an honest review: [your review link]

Sent to every customer, not just the happy ones. Honest reviews, good or bad, are what Google’s policies ask for.

04  What we won’t do

Some shortcuts cost more than they save.

Fake or bought reviews can get reviews removed and a profile restricted, and they break customer trust that took years to build. We don’t offer them in any form.

  • No fake reviews

We never write reviews, post them from other accounts, or ask friends, family or staff to post them.

  • No incentives

No discounts, gift cards, raffles or freebies in exchange for reviews, positive or otherwise.

  • No review gating

We don’t screen customers first and only send happy ones to Google. Everyone gets the same honest ask.

  • No replies without approval

Nothing goes live on your profile unless you said yes to that exact reply.

  • No arguing in public

We won’t draft replies that blame, expose or argue with a reviewer, even when they’re wrong.

05  Who it’s for

Built for businesses where every review gets read.

Local service businesses live and die on what the last ten reviews say. These are the ones we’ve built the service around.

Dentists

Privacy-safe replies that thank patients without confirming care, plus a front-desk routine for asking after visits.

Veterinarians

Warm replies for happy pet owners and careful handling of the hard reviews that follow difficult days.

Auto repair

Replies that address wait times, estimates and communication directly, and move billing disputes offline.

Home services

Plumbers, HVAC, electricians, cleaners and landscapers: replies that name the job, never the customer’s address.

07  Questions

Good questions, straight answers.

Do I have to give you my Google password?

No, never. If you want us to post approved replies, you add us as a manager on your Google Business Profile, which you can remove at any time. If you’d rather post replies yourself, we just send the drafts.

What if I don’t like a draft?

Edit it, skip it or tell us what to change. Your notes go into your house style so the next drafts get closer to how you’d write them.

Can you remove bad reviews?

No. Only Google removes reviews, and only when they break its policies. If a review looks like spam or clearly violates Google’s rules, we’ll point that out and show you how to report it.

Is the request kit allowed by Google?

Yes. Google encourages businesses to ask customers for reviews. What it prohibits is paying or rewarding people for reviews and asking only the customers you expect to be happy. The kit does neither.

I have more than one location.

Each location has its own Google profile, so each is its own $99/month plan. Mention it in the trial form or write to hello@reviewloophq.com and we’ll set them up together.

How do I cancel?

Reply “cancel” to any of our emails or write to hello@reviewloophq.com. Remove us as a manager on your profile and you’re done.
